TIPS

Deleting Unnecessary or Unwanted Mail:

  • Managing Sent Mail:
    • A copy of every e-mail message that you send is stored in your Sent Items folder.  Removing unneeded or duplicate messages from this folder is often a good place to free up account space.  This is particularly important when sending or forwarding messages with large attachments. For example:
      • If you forward a message with a large attachment to Joe College and then to Mary University in a separate email, you will have 3 copies of this message, (1) the original you received, (2) the copy sent to Joe, and (3) the copy sent to Mary.
         
  • Empty Deleted Items in Outlook or Outlook Web:
    • Items in your Deleted Items Folder count against your mail box quota until you "Empty Deleted Items".
       
  • Find the Largest Messages:
    • When deleting or moving mail, it is best to work with the largest messages first. To find these, sort by size, or by attachments

Moving Messages from Your Server Account to Your Office PC:

  • Moving Messages to Personal Folders:
    • The best approach to saving both account space and messages it to create folders on your office PC and move older messages to these folders.  Mail moved to personal folders on your PC does not count against your account quota.
  • Automatically Archive old mail to your hard drive:
    • The next best choice to creating a set of Personal Folders is to have your desktop version of Outlook automatically archive your older mail to folders are stored on your office PC
      • Archiving is based upon message age.
    • As with anything automatic, there may be unintended consequences. Please remember your archive settings.
       
  • Saving Attachments in Outlook Web (OWA) :
    • While both of the above methods are only available from the PC in your office, you can free up account space and save information while at home in Outlook Web.
