- Classification
of Transfer Students:
- Beginning 12/1/98 the Classification of "AT" has been
deactivated. Entering a "Y" in the Transfer Field will
be the sole method of identifying a student as a transfer student.

- Previously, transfer students were identified by choosing
a Classification of "AT" and selecting a "Y" in the
Transfer field.
- Students are to be classified as Transfer (a "Y"
entered in the application transfer field) only when they have attended
a college after graduating high school.
- A student who has received college credits for courses taken while
in high school is not to be considered a transfer student. However, transcript
information for courses taken while in high school should still be entered
in that student's education record.
- A student who is to receive college credit for military or life experience
is not to be considered a transfer student.
- High
School Average entry for Foreign Transcript, Equiv. Diploma and ATB Classification:
- Beginning 12/1/98 a "-1" should be entered in the high school
average field of the Education Record for students with Foreign Transcripts, Equivalency
Diplomas and ATB classification. Be sure to still put the corresponding
CEEB# in this record.

- Watch those Commas in the name field. The format
for name is:
- For Maiden Names, Select the Other Names
Contact Screen and use the M designation in the Stl
box
- All Students need an Interest Record. Please include
an interest designation for all students. If no preference is given by
the student, use LA. Students w/o interests will not receive the
CURR letter.

Implementation
Status
- Cars to Mainframe Data Transfer:
- Creation of ADMU Record - John and Henry have developed
the programs for the creation of ADMU records from CARS. These are done
when a student receives an "APP" type status.
- Admissions folders are now being created for students with valid Application
information.
- Remember, we need valid SS#'s, birth dates, full/part time status and sex classification. Records with conflicts between CARS and the mainframe
historical file are not automatically taken over. These are currently being
resolved by Central Admissions.
- Henry has developed a program to check maiden names in CARS against
mainframe historical data to resolve these conflicts automatically.
- Update of the CARS record with Mainframe Statuses: John
and Henry have completed a batch update procedure for bringing Mainframe
statuses back to Cars. These currently include Paid, Registered Enrolled,
No response and no attendance. In conjunction with the planned change in
procedures, information on testing and advising will also be brought back.
- Recording of ACCEPT - John has completed
the program to transfer acceptances from CARS to the mainframe.
- Remember, a student needs to receive the status ACCEPT and a
Decision Code for the transfer to occur.
- Creation of Acceptance Letters:
- Cars Letter Generation - John has created a separate ACE reports for each decision letter.
- New "one size fits all" Letters - In conjunction
with the changes noted below, John and Chris are working on new letter
macros to produce most acceptance letters from a single master letter.
- Changes to Cars System:
- Done - Elimination of ADVISED, TESTED,CONFIRM,
CONFNOFE, WAITLIST, READMIT - John, Chris and Gary are looking
at streamlining the statuses used in CARS, and replacing some of these
with fields on the application form.
- It is proposed to add a "Requires Placement Testing"
field (Y/N) in place of the TESTED status,
- a "Requires Advisement" Field (Y/N) in place
of the ADVISED status,
- and a "Deposit" field (3 digits to represent
the previous ADMU code - i.e. 100, 0001, 002) in place of the CONFIRM and
CONFNOFE status.
- In progress - Change of the Acceptance
Procedures (Elimination of Decision Codes, addition
of new ACCEPT status, and new Accepted major field)
- Instead of using Decision Codes to determine a student's
acceptance status, it is proposed to add variations to the ACCEPT
status: These would be as follows:
- ACCEPT1 - Accepted to their first choice
- ACCEPT2 - Accepted to their second choice
- ACCEPTG - Accepted to general studies or a alternate program.
- Instead of deriving a student's curriculum code from the DECISION
code and MAJOR/MAJOR2 field, is is proposed to Add
an ACCMAJOR field to the Application. This field will be
the code for the curriculum that a student was accepted into.
- For Joint Acceptance, it is proposed to add a (Y/N) field
next to the requested CEEB code which will state the status of a joint
acceptance.
- New Acceptance Process: (in
planning stage)
- In conjunction with the changes identified above, a new acceptance
process is being developed. To accept someone in the future, counselors will:
- Add a contact from the ACCEPT family to a student's
Contact record.
- Identify the ACCMAJOR along with the Joint Decision,
Advisement and Testing information the Application's main screen.
- The ACCEPT(1,2,G) status will trigger the necessary decision
letter.
OR
- Use a revised ADMU screen to Accept students, which will update CARS
within 24 hours, to allow acceptance letters to be generated.
